A bottleless dispenser is only as dependable as its filtration and maintenance plan. The cabinet may look clean while overdue filters, dirty contact points or a neglected drip tray affect taste and confidence.

Buyers should ask what is serviced, how often and who documents the work. “Maintenance included” is not specific enough for equipment connected to the building water supply.

Match filtration to the actual water supply

Ask what each filtration stage is designed to reduce and whether the recommendation reflects the building’s water and plumbing. More cartridges do not automatically mean better results.

Review rated capacity, flow and replacement triggers. Time, gallons used and local conditions can all affect the interval.

Put replacement dates in writing

The proposal should state who changes filters and how service is recorded. Labels or digital service records make the next due date visible.

High-use locations may reach capacity before a calendar interval. Providers should adjust the schedule when consumption changes.

Define cleaning and sanitation

Clarify responsibility for dispensing nozzles, drip trays, reservoirs and exterior surfaces. Routine employee cleaning and periodic technical sanitation are different tasks.

Ask what procedure follows a taste, odor or prolonged shutdown complaint. The response should be more useful than simply installing another filter.

Protect against leaks and downtime

Review shutoff valves, approved tubing and leak-detection equipment. Know who responds after hours and what damage is excluded.

For critical or high-volume areas, discuss backup access to drinking water while a unit is repaired.
